FOCUSED AUTOMATION / BY HELOFT

Put the routine
in its place.

Small automation pilots for documents, product data and the work in between. One defined task. A result you can check.

01 / FIND THE RIGHT FIRST TASK

Less “automate everything.”
More start here.

Choose a concrete task with a sample we can inspect. We confirm the format, access and scope before the work begins.

DOCUMENTS

A request in.
A workbook out.

Turn a structured RFQ PDF and an approved price list into a draft Excel quote. Match exact product codes and units; keep uncertain items open.

THE OUTPUTQuote draft + source references
+ exceptions for review
Pilot scope

One supported text-based PDF layout, up to 5 pages and 20 request lines, plus an approved CSV catalog of up to 500 records. Each input up to 1 MiB. No scans/OCR, substitutions, unit conversions, ERP connection or binding quote delivery.

PRODUCT DATA

A catalog check.
A clear issue list.

Review a small product CSV for missing fields, conflicting identifiers, and price or currency formatting. Preserve source identifiers and prices.

THE OUTPUTRow-by-row findings
+ safe CSV where possible
Pilot scope

Up to 20 authorized product rows in an agreed CSV format, up to 1 MiB, with one clarification or revision round. Image links are checked for URL syntax only. This does not verify product facts, fix uncertain values automatically, or import data into a store.

WORKFLOW PLANNING

Before the build,
draw the boundaries.

Describe one repetitive workflow: what goes in, what should happen, and where it gets stuck. Turn that description into a practical scope for a possible build.

+ proposed handover
What planning includes

One described workflow, its inputs, outputs, dependencies and review points. We identify access and testing requirements. Implementation, n8n installation, platform credentials, production changes and ongoing operation are not included or promised.

Map the task first

02 / HOW THE WORK MOVES

A small loop.
A solid handover.

Automation is useful when you can tell what it did, where it stopped, and what comes next.

  1. 01

    Define the task.

Start with a description and the file format. Agree the sample, delivery date, any cost and a retention or deletion date before sharing files.

  2. 02

    Keep the pilot bounded.

Work on an authorized sample. Stay inside the agreed scope. Surface missing information instead of silently inventing an answer.

  3. 03

    Hand over something checkable.

Review the output against its source, discuss unresolved items and decide whether a next step is worthwhile.

03 / THE DETAIL THAT MATTERS

An exception
is an output, too.

A blank quote value with a reason is more useful than a confident guess. Your review remains part of the workflow.
